Job Posting: Assistant Executive Director

Reports To: Executive Director
Position Type: Full-Time, Exempt

Overview:
The Assistant Executive Director (AED) is a key leadership role at the Springfield Boys & Girls Club, responsible for overseeing all club programming, program staff, and assisting the Executive Director with overall organizational operations. The ideal candidate will have experience with youth programs and knowledge of EEC regulations. As a senior staff member, the AED also handles administrative and operational duties to ensure the Club runs smoothly and safely.

Key Responsibilities:

Program Leadership & Oversight

  • Supervise Program Director and program staff, ensuring high-quality programming for drop-in, licensed care, and teen programs

  • Hire, train, and evaluate all program staff

  • Set weekly schedules and determine staffing needs

  • Develop annual club and program schedules

  • Track program activities and outcomes within the Vision database

  • Oversee volunteer and intern recruitment and management

  • Coordinate program schedules and facility use for outside organizations

  • Manage member behavior and ensure compliance with club policies

Operations & Administration

  • Conduct daily walkthroughs of indoor and outdoor areas to ensure safety

  • Oversee facility rentals and building usage

  • Work with Facility Manager to maintain operational health of the Club

  • Manage payroll, approve time-off requests, and conduct background checks

  • Ensure incident and accident reports are submitted to Executive Director

  • Assist with program budgets and grant compliance

  • Promote club membership and community engagement

  • Provide programmatic reports to Executive Director at least twice per month

  • Step into Executive Director role as needed in their absence

Community Engagement & Alumni Relations

  • Represent the Club at community events

  • Coordinate alumni engagement and plan at least three alumni events annually

  • Give club tours as needed

Qualifications:

  • Associate or Bachelor’s degree, preferably in education or youth services

  • Minimum of five years experience working with youth in a similar setting

  • At least three years supervisory experience

  • Strong program planning and implementation skills

  • Excellent interpersonal and communication skills

  • Ability to work with diverse populations

  • Highly organized with strong attention to detail

  • Knowledge of EEC regulations and BGCA membership and safety standards

  • Willingness to attend trainings to expand knowledge of BGCA and youth services

Physical Requirements:

  • Ability to lift and move equipment

  • Climb ladders and participate actively in programs (e.g., sports and games)

  • Maintain high energy and multitask effectively

  • Articulate and clear verbal communication

  • Ability to drive Club vehicles

  • Frequent walking throughout the building during the day

Additional Duties:

  • Perform other responsibilities as directed by the Executive Director to support the Club’s mission
