Seasonal Development Assistant
The Springfield Boys & Girls Club is seeking a Seasonal Development Assistant to support our biggest annual fundraiser—the Festival of Trees—as well as year-end fundraising activities and donor research. This role runs from September through January and is ideal for someone who is detail-oriented, proactive, and passionate about community impact.
Reporting to the Executive Director and Development Director, the Development Assistant will work closely with the Development and Marketing & Special Events teams to help coordinate logistics, manage volunteers, support donor engagement, and assist with event operations. This is a dynamic, fast-paced role that offers a unique opportunity to be part of something magical during the holiday season.
Schedule & Commitment
- Flexible schedule: 18 hours per week, October 1, 2025, through December 17, 2025.
- Must be available Friday November 28th, Monday December 15th, and all weekends from November 28 – December 14
- Saturday: 10 AM – 8 PM
- Sunday: 10 AM – 5 PM
- The festival takes place at the MassMutual Center
Key Responsibilities
- Provide administrative and hands-on support in the planning, setting up, and operation of the Festival of Trees
- Attend committee meetings and assist with logistics (notetaking, follow-up communication, etc.)
- Coordinate and communicate with tree donors, including check-in, event setup, and post-event pickup
- Support sponsor outreach and stewardship, including assembling sponsor packets and tracking invoices
- Help schedule and manage Santa appearances (and assist Santa/Mrs Claus as needed).
- Recruit, train, and coordinate volunteers for event stations; provide backup coverage when needed
- Assist with year-end appeal mailing (One Campaign), including personalizing letters and preparing materials
- Run errands related to Festival preparation (mileage reimbursed at 62¢/mile)
- Enter donor and event data into the DonorPerfect database
- Conduct alumni and donor prospect research to support strategic engagement efforts
- Additional duties as assigned by the Executive and Development Directors
Ideal Qualifications
- Experience in nonprofit, event planning, fundraising, or a related field (preferred)
- Strong written and verbal communication skills
- Highly organized, dependable, and attentive to detail
- Ability to manage multiple tasks in a fast-paced environment
- Proficient in Microsoft Office Suite (especially Excel, Word, and Outlook)
- Experience with volunteers or customer service is a plus
- Friendly, positive attitude and a collaborative spirit
- Must have reliable transportation and be comfortable working evenings and weekends during the event
Working Conditions & Physical Requirements
- Combination of office-based work and on-site responsibilities at the MassMutual Center
- Must be comfortable being on your feet for extended periods during event hours
- Occasional light lifting and event setup may be required
Compensation: $18/hour
